Please read all the following terms and conditions very carefully, it sets out your agreement with Signpost Cycling.
1 – Enquiry Form
Submission of an enquiry form is to establish whether your desired tour is available for your group – once availability has been advised then a booking form will need to be completed and the tour with be confirmed once the booking form and deposit have been received. The party leader will be responsible for all correspondance and payments who should also carefully check the booking details advising us immediately if something is incorrect.
2 – Booking Form
This to be completed by the party leader and checked by all other members of the group carefully – as we are dealing with third party providers it may be difficult to make booking alterations close to the tour date. Bookings will only be taken from persons over 18 year of age.
3 – Payment
We will require a 25% deposit at the time of booking with the balance payable 56 days prior to your tour (or full payment if tour starts less than 56 days from booking date). Payment reminders will be sent by email and if there is non payment of balance 45 days before your arrival date we reserve the right to cancel the tour and our cancellation charges will apply as described below. Payment can be made by electronic transfer, debit card or credit card (credit cards carry 2% surcharge).
4 – Insurance
You are strongly advised to take out travel insurance cover and advise your insurer that you will be going on a non-competitive cycling holiday but will be responsible for bike theft if using a hire bike. All tours take place mainly on country lanes, towpaths and bridleways.
5 – Contract
A contract between us comes into force on recepit of booking form and deposit – English Law will apply to any dispute, claim of other matter of any description which arises between us.
6 – Tour Costs
The tour costs shown on the website are calculated on the basis of two sharing a room and include breakfast where accommodation is part of the tour, include luggage transfers for our ‘Linear Tours’ and cycle hire from one of our third party suppliers. We reserve the right to alter any errors on the website and will advise of any differences prior to your booking being accepted.
7 – Changes to Tour
Please advise us as soon as possible if you would like to make any changes to your tour – whist we are unable to guarentee such requests can be met we will do our best to assist you. We will advise prior to any changes being made if there are any cost implications. An administration fee of £25 will be applicable to any changes made to the original booking.
8 – Tour Cancellation
Should you wish to cancel your tour or reduce your party numbers then the party leader should notify us immediately either by phone or email and the following cancellation charges per person will apply;
56 days or more prior to tour – we will retain full deposit
55 – 30 days prior to tour – we will retain 50% of total tour cost
29 days or less prior to tour date – we will retain 100% of total tour cost
9 – Tour Updates or Cancellation By Us
The stated tour itineries may from time time need to be altered due to outside factors, third parties or weather conditions – we will notify you as soon as known if there are any minor alterations that require your attention and will always provide that any updates to an itinerary will be of an equivalent standard. In the unlikely event that we will have to cancel a tour we will offer you an alternative date or a full refund.
10 – Force Majeure
Except where otherwise expressly stated in these booking conditions, we regret we cannot accept liability or pay any compensation where the performance of our contractual obligations is prevented or affected by ìforce majeureî. For the purposes of these booking conditions, ìforce majeureî means any event which we, our employees, agents or supplier of the service(s) in question could not, even with all due care, foresee or avoid. Such events may include war, riot civil strife, terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire and all similar events outside our control.
11 – Own Bikes
You are very welcome to use your own bikes on our tours all we ask is that you ensure that your bike/s are in good working order – it may even be a good idea to have them serviced prior to your tour. If you experience any problems with your bike during your tour we will be able to organise a replacement bike for you and only charge for the ‘Own Bike’ discount’ already given
12 – Solving Your Problems
In the unlikely event of you having any problems with our services whilst on tour with us then please contact your accommodation provider in the first instance or call us direct on the contact number provided – we will do our upmost to deal with any issues arising efficiently.
13 – Complaints
Whilst we hope to have solved any problems whilst you are with us please notify us in writing 7 days following the end of your tour if you wish to make a formal complaint – preferably by email.
14 – Our liability To You
We will not be liable for any injury or loss suffered by you except in the following circumstances:
Death or personal injury caused by the negligence of us, our employees, agents or suppliers provided they were at the time carrying out work authorised by us.
Misrepresentation made by us, our employees, agents or suppliers provided they were at the time carrying out work authorised by us.
Breach of our contractual duty to exercise due diligence in making arrangements for your holiday and for consequential loss arising from any such breach.
Failure to provide contractual services which are adequate or are of a reasonable standard.
15 – Your Responsibility
We accept your booking the understanding that;
All persons going on our tours are in good health and able to fulfil physical demands of cycling – please refer to tour information for degree of difficulty of your chosen tour.
Please follow highway and country codes at all times
Do not take unneccesary risks and act sensibly at all times
Follow all guidelines issued by ourselves and thrid party providers.
We reserve the right to ask any member of your party to leave if we consider their prescence to be upsetting to others or are considered irresponsible – no refunds will be given and we will not re-emberse any expenses incurred as a result of the termination.
16 – Third Party Suppliers
Many of the services that form part of your package are provided by third party suppliers who provide their services under their own terms and conditions which can be provided on request, whilst Sigpost Cycling will endeavour to ensure that these suppliers are of the highest standard we cannot be liable for any problems arising from their actions or failures. These will generalbly be bike hire companies, hotels and travel companies.
17 – Medical Problems
Please advise us at the time of booking if any members of your party have any pre-existing medical problems or special dietry requirements.
18 – Financial Security
In accordance with English and European Law your payments to us will be placed into a ‘Trust Account’ until the completion of your holiday and in the unlikely event of us going into insolvency all monies will be refunded from this protected account.
